Your Family's Guide to Email Using Outlook Express

Set Up Rules To Automatically Send Email to Folders

For our next step, we will add folders to each person's main folder so that email will automatically be sent to folders.

Let's say that Mom communicates regularly with three people - her friend Sally, her friend Jane, and her cousin. We will create folders and rules so that each person have their own folder and the program will automatically send their emails to their folder. Won't that be great for when you are looking for a recipe that Sally sent to you last week? Here's how.

The first thing to do is to create a new rule by clicking on Tools - Message Rules - Mail


Click on New in the Message Rules dialog window.

In the New Mail Rule dialog window, Select the Conditions for your rule: as Where the From line contains people

Select the Actions for your rule: as Move it to the specified folder and also check Stop processing more rules.

Under the Rule Description area, click on Contains people - a new dialog window called Select People will open.

Add Sally's email address (sally@her-isp.com).

Click OK

Now you are back to the New Mail Rule dialog window.

Click on specified under the Rule Description.


A new window will open called Move.
Highlight Mom's mail folder and click New Folder

A New Folder dialog window will open.
Type in the name Sally to create a new folder.

Click OK to close the New Folder dialog window.

The Sally folder should be highlighted.

Click OK to close the Move dialog window.

Now the New Mail Rule dialog window will be open.

Change the name of the rule to Sally

Click OK to close the New Mail Rule dialog window.

Now you will be back at the Message Rules dialog window.


Now that you have folders set up and rules to automatically send your email to the folders, when you open Outlook Express, you will see your new folders under your inbox. When you receive an email, it will go directly to their folder.

Now go in and do the same thing for each person that Mom communicates with.
